Terms of Reference (ToR) for English/Russian Interpretation Services during a Study Tour to Belgium
Study Trip to Belgium – “GreenHouse for Social Innovators”
Dates: May 12-16
Method of payment: Bank-transfer
Daily rate: EUR 250 gross, the organisers will also cover accommodation (12-16 May) and meals. International students are highly encouraged to apply.
Location of services delivery: Belgium
The study tour is organised as part of the co-funded by the European Union project “GreenHouse for Social Innovators”, coordinated by gGmbH IBB (Dortmund, Germany), Georgian Heritage Crafts Association (GHCA), and Ukraine without Waste, a non-profit organisation and social enterprise. The initiative is part of the EU4Youth programme, aiming to enhance the participation of young people in the labour markets and social economy of the Eastern Partnership (EaP) countries.

The visit will bring together youth workers, social entrepreneurs, youth organizations’ leaders, and social innovation experts from the EaP region, under the age of 35. Participants will explore the Belgian social economy and circular business models while building networks for future cooperation.

The working language of the study trip is English, however due to the diversity of participants, interpretation into Russian will be required.

The task of this assignment is to provide consecutive interpretation from English to Belarusian/Russian (and vice versa, where needed) during all core components of the study trip to ensure full understanding and participation by non-English speaking attendees.

Scope of Work
The interpreter will be responsible for:

  • Providing consecutive interpretation/whispering during:
  • Presentations and site visits at Belgian social enterprises (at least two per day)
  • Meetings with Belgian social innovators and stakeholders
  • Networking sessions and discussions between participants (upon request)
  • Debriefing and reflection sessions
  • Supporting participants in informal settings when necessary (e.g., meals, travel time) to facilitate cross-cultural exchange and communication
  • Ensuring professional, neutral, and culturally sensitive interpretation

Required Qualifications
• Proven experience in consecutive interpretation/whispering (English ⇄ Belarusian/Russian), preferably in international, social enterprise, or NGO settings
• Familiarity with the terminology related to social entrepreneurship, sustainability, youth work, and circular economy is a strong asset
• Excellent interpersonal and communication skills
• Ability to travel to and stay in Belgium during the entire duration of the trip (May 12–16, 2025)

Working Conditions
• The interpreter will accompany the group throughout the entire programme in Belgium
• Accommodation, travel (including international flights), and meals will be covered by the organisers
• Accommodation: B&B style
• The programme will include long days with site visits, travel between cities, and informal activities—flexibility and adaptability are essential
• Daly rate: EUR 250 including taxes
Reporting and Supervision
The interpreter will report to the project coordination team, more specifically to Aliona Lis (mudafina@gmail.com). A short debrief with the project team at the end of the visit may be required to share insights and reflections regarding communication needs.
