The EU-funded project “Green House for Social Innovators” is seeking commercial proposals from venues to deliver a 5-day training including:
1) accommodation for 62 participants
2) provision of an equipped room for the training session
3) provision of catering for participants during the event
All interested organizations should submit their commercial proposals to the following email address: elova@ibb-do.de no later than 12 May 2024. Please, indicate “Accommodation and rent” in the subject line of your letter. Please see a detailed description below.
The declared proposal must be submitted inclusive of VAT if applicable.

Place of the event: Warsaw, Poland
1) ACCOMMODATION SERVICES:
The contractor must provide services for accommodation of 62 people in a hotel of at least 3 stars or equivalent for 6 overnight stays (from 04.06.2024 to 9.06.2024) in
- 12 single rooms of standard category (with breakfast)
- 25 standard double rooms (with breakfast)
Hotel requirements:
- category or class of the hotel - equivalent of at least 3 stars;
- good accessibility of public transport (bus, tram, metro);
2) CONFERENCE ROOM RENTAL:
Rent of a conference hall for a training with a capacity of at least 60 people in the period from 05.06 to 09.05. 2024 from 9:00 to 18:00.
Requirements for the conference hall:
- room with the possibility of seating/chairs with tables with a capacity of at least 60 people, as well as installation of the necessary equipment for the training (screen, multimedia projector, laptop with MS Office installed, sound-amplifying equipment, flipcharts, extension cords and Internet access)
- possibility of organising simultaneous interpretation (availability or additional placement of three interpreter cabins, headphones and microphones)
- availability of high-speed Internet (Wi-Fi);
- air conditioning in the conference room;
3) MEALS FOR PARTICIPANTS:
The venue of the event will coordinate the catering with the Customer. The time of catering will be specified additionally in the event programme, following meals needed:
- 6 Dinners for approx. 60 participants in the period from 04.06 to 09.06 (the exact number will be agreed one week before the training session)
- 5 Lunches for approx. 60 participants in the period from 05.06 to 09.06 (the exact number will be agreed one week before the training session)
- 10 coffee breaks during the training for approx. 60 participants in the period from 05.06 to 09.06 (the exact number will be agreed one week before the training session)
